Change management

Closing or moving a location without leaving a data trail

Preserve history while making current customer information accurate.

Start with the operating problem

A closure is a cross-system change, not just a profile edit. Identify the permanent location record, all relevant profiles, the website page and directories that contain the address. Record the effective date and whether the business is closing, moving or being replaced by another operator.

Coordinate the records

Agree the appropriate customer-facing status for each destination using current platform guidance. Update the website and enquiry routes so customers know what changed. Retain the old record internally for historical reporting and to identify duplicates later.

Confirm publication and routing

Test what a customer sees for branded and address searches. Check phone and booking destinations, and route remaining enquiries appropriately. Keep a log of updates submitted, updates verified and platforms still awaiting a decision.

What to take into your next review

Exclude closed locations from current estate totals while preserving their historical results. Label changes to the reporting denominator. Otherwise a portfolio trend can look healthier simply because underperforming locations disappeared from the dataset rather than because customer acquisition improved.

A practical checklist

Use this checklist in your next portfolio review.

  • Name the accountable owner and authoritative data source.
  • Record the baseline, sample and observation period.
  • Agree how exceptions are approved and escalated.
  • Verify customer-facing changes after submission.
  • Separate observed platform signals from attributed business outcomes.
