How to build a Google Business Profile access register
Know who controls each profile before the next opening, acquisition or staff change.
Start with the operating problem
Begin with the business-owned accounts and people who can authorize access. Record the profile URL, business owner, agency manager and date access was confirmed. The purpose is continuity: a departure should not make a profile inaccessible. Avoid storing passwords in the register.
Keep ownership with the business
Use a documented access request and removal process. Manager permissions should match the work required. When a franchisee or former operator controls a profile, collect evidence and follow the platform’s available ownership process; do not assume recovery is immediate.
Treat access changes as events
Joiners, leavers, acquisitions and operator transitions need review triggers. A spreadsheet is only useful if somebody updates it. Give the register an accountable owner, define a review cadence and require confirmation when permissions change.
What to take into your next review
Evaluate coverage with a denominator: the number of relevant profiles, the number with confirmed access and the number awaiting resolution. Keep unknown ownership separate from confirmed access. At offboarding, remove agency access and confirm the client can continue managing every profile.
